#549 Funding Request for tuanta to FUDCon Pune 2015

  • What do you need covered? (Please estimate the costs in USD: hotel $X, travel $Y.)

  • travel: $750 - $800 USD.

  • Honestly I would like a full subsidy but it is negotiable if needed.

  • If Yes, specify the minimum amount you need covered to facilitate your attendance.

  • What will you accomplish by being at FUDCon? (Please be as specific as possible, since this is the most important factor in granting requests.)

  • I submitted to talks and planned to attend APAC Ambassadors panel.
  • It is also nice to meet more people in the community.

  • If you are requesting airfare, include complete flight information such as flight numbers, desired departure and arrival airports, and times. Also let us know if you have specific time restrictions.

  • Just searching on JetAirways.com:

    • Departure date: June 24th (arrived on June 25th)
    • Leaving date: June 29th or July 1st (to have some extra days to visit the city)
  • Do you need a visa or other official processing before you can attend FUDCon? If so, approximately how long does that processing take?

Another option is flying to Mumbai then travelling to Pune by train.

It costs much cheaper: under $500 for return flight Hanoi - Mumbai - Hanoi + return train Mumbai - Pune - Mumbai; and the total travel time is mostly equal (just checked on cleartrip.com)

I am fine to travel by train to save some money and give more opportunities to others. However, I am not sure it is convenience enough since I have never been to India. It would be much easier for me if there is someone guide me to (or even go with me)

Road is a better option to get from Mumbai to Pune. We're considering arranging taxi pickup for sponsored travelers from the Mumbai airport to their hotel in Pune.

Flight fare is higher and higher.

Return ticket Hanoi - Mumbai - Hanoi is about $560 now.

The weekly subsidy discussion meeting is tomorrow, so we hope to conclude on this ticket tomorrow as well.

Just some small questions:
$600 is for return ticket to Mumbai? How about Mumbai <-> Pune? Has it been arranged?
Who will be responsible for purchasing ticket and ETA (for visa)? ticket price is increasing day to day so sooner is better.

Travel from Mumbai to Pune is separate, and will be arranged by us.

Please go ahead and book the tickets. We will reimburse after the conference. Please ensure to retain the boarding pass, we will need that for reimbursement.

After you have booked the ticket, upload it to this ticket. For the visa, email Siddhesh with the information (passport number, name as on passport, duration of stay, dates of arrival/departure, flight info, country of residence). We will then send the invitation letter.

I booked my ticket (attached). The flight cost is about $500.

Since there is no direct flight between Hanoi - Mumbai (always layover in Bangkok), I have got two choices: 1/ layover and stay a night in Bangkok or 2/ getting to Mumbai a day sooner and stay in Mumbai, then I chose option 2.

My flight is arriving Mumbai on June 23rd. While waiting for transportation to Pune (TBD, June 24th or 25th?), I will do work myself and take a while to visit the city.

The other stuff I need is an ETA (https://indianvisaonline.gov.in/visa/tvoa.html) for applying visa on arrival. I will need to wait since they don't accept applications with the date of journey farther than 34 days.

Last but not least, at this moment, I believe that I can manage the total cost (at my side) not exceed $600.

Please note:

Accommodation is provided on the twin sharing basis for the duration of the conference, ie. check-in on 25th June and check-out on 29th June 2015. Expenses for any other days shall be levied on the occupant(you). In case, you need a room for yourself, you'd need to bear half of the room fare.

For an invitation & introduction cover letter for Visa purposes, we need the following details from you. Please send it to me(pjp@...) via email with "FUDCon visa letter" as Subject line.

  • Full Name as it appears in passport
  • Passport number
  • Country of Citizenship
  • Arrival date in destination city
  • Departure date from destination city
  • Purpose of travel
  • Current work location
  • Job title
  • Any other information required in the letter as advised by the travel agent/visa processing vendor

More updates:
Got the monthly billing from credit card provider, they charge 11,166,564 VND;
While the reimbursement converted to VND is 10,097,027 VND;
* So the difference is 1,069,537 VND = ~50 USD.

I don't know if this exchange rates difference could be reimbursed?
At least, it should be recorded for improving the situation in the future.

I got the Indian visa (eTV). Now I am ready for boarding :)

The visa fee is $61.8.

"It is to inform you that we are not providing any kind of payment receipt.if you want receipt of payment then contact to your concern bank they will provide you transaction details."

The Card Account Statement including this payment item has been sent to me on June 30th but it also contains some other payment item. I do not want to share it for privacy reasons. However, if it is mandatory to get reimbursement, I will.

Btw, how about the exchange rate difference in comment:20? Can it be reimbursed?

As I said before, they sent me only the monthly statement with all items during that month (in PDF).

I took screen-shots from statements (attached here) with all unrelated rows erased:
in April: contains expense for flight ticket by credit card: 31,010 INR = 11,166,564 VND
in June: contains expense for eTV by credit card too: $61.8 USD = 1,394,899 VND
* An SMS: contains withdrawal statement for the 1st reimbursement ($90 USD)

I don't know about this. I'll ask Ruth when I assign this ticket to her for reimbursement.
