#420 Protocol Letter for the Host: Universidad Nacional de San Antonio Abad del Cusco
Closed: Fixed None Opened 11 years ago by aeperezt.

= phenomenon =
The Universidad Nacional de San Antonio Abad del Cusco, sponsor the event and is helping organizing the Fudcon
= reason =
As part of the protocol they require a Letter from the FPL, requesting the help of the University to host and organize the event, and what Fudcon will bring as event for the University. This is protocol there help is already granted.
= recommendation =
Letter must be address to:
Dr. Germán Zecenarro Madueño
Universidad Nacional de San Antonio Abad del Cusco

Does this need to be sent as physical mail or email?

Other questions:

  • Do we need to request a specific date in the mail
  • Do we need to address any financial / logistics details (ie: We will be paying for food, transportation, flights... or state that we are responsible, etc?)
  • Does this need to go on an official letterhead (ie: PDF, sent in email) or can it literally be "just a plain email"
  • Do I need to have this translated before sending it off

Date of the letter and event from Sept 26 to 28, I think the letter should specify the dates of the event.
The financial part will be good, but don't mention food as local team is working to get a sponsor for that.
It be best as official letter with a letterhead as it will be on their local records. PDF will be good
Not plain English will do ok.

Any new about this, any other information that we may require?

I propose that Robyn and Ruth write the letter and Alejandro and Jared translate them to spanish.

:-)

English is ok for this letter, no Spanish required.

I'll type it out here so you guys can comment and then I'll stick it in the Red Hat letterhead.

Dr. Madueño:

On behalf of the Fedora Project, I would like to request the assistance and support of the Universidad Nacional de San Antonio Abad del Cusco in the organization of our conference, FUDCon.

Planned for September 26 - 28, 2013, in Cusco, Peru, FUDCon (Fedora Users and Developers Conference) is the gathering of Fedora contributors in various regions of the world on an annual basis. FUDCon is open to anyone for participation, and is free to attend.

The Fedora Project is a worldwide community of contributors dedicated to spreading the values of open source software throughout the world. The main way we do this is through our main product, Fedora; Fedora is a Linux operating system, freely available for download and installation. The Fedora Project is sponsored by Red Hat, Inc., a US-based company with more than $1 billion in annual revenues derived from open source products. Red Hat is committed to supporting FUDCon, both financially and with coordination assistance.

These events serve as an opportunity for the Fedora Project's contributors to meet face-to-face for discussions and to do project-focused work; additionally, they serve as an outreach mechanism to anyone interested in Linux or open source. FUDCons provide an excellent opportunity for both university students and the extended area community to learn valuable technology skills in a variety of areas, including open source collaboration, systems administration, and software development, and the Fedora Project believes the event is of significant value to any community in which it is held.

I look forward to your response confirming the support of the Fedora Project in their plans for FUDCon at the Universidad Nacional de San Antonio Abad del Cusco this coming September.

Sincerely,

Robyn Bergeron

Fedora Project Leader

Red Hat, Inc.

Excellent can put this on PDF with you signature so we can send it

Hello my name is Alex Irmel Oviedo Solis, I'm from Cusco and I'm a fedora ambassador too. Sorry for the delay.

The letter is fine but missing some things, and should be 2, one for the Document Store and the other for accreditation with the sponsors.

In the header should be the full name of the rector, something like:

---[[BR]]
Mr:[[BR]]
Dr. German Zecenarro Madueño.[[BR]]
Rector of the National University of San Antonio Abad of Cusco.[[BR]]
Present[[BR]]
---

The letter must have a handmade signature (not a digital signature).

The letter should be printed on a sheet with letterhead with logos of Fedora and/or RedHat.

The letter should be sent to the University by physical mail with the following information on the envelope:

--[[BR]]
Coordinación de la carrera profesional de Ingeniería Informática y de Sistemas[[BR]]
Avenida de la Cultura 733[[BR]]
Cusco, Perú[[BR]]
--

The academic coordinator will deliver the letter personally to the Rector.

Thanks for your support and greetings to all.

I'm not sure I understand what you mean by "Document store" and for accreditation with the sponsors.

Do the items you have listed (header with full name of rector, and handmade signature, printed, sent by physical address) take care of the two issues listed? Or are those separate issues?

Alex can we send you the letter on PDF so you can print it there, I think that will be faster than by mail on paper, I understood that was ok.

Sorry, my English is very bad. When a public institution receives a official document, always keep a copy and stored in a safe place, hopefully someone who speaks Spanish can translate correctly this term "Archivo Central"

The problem is the signature, they may think it's a fake.
[[BR]]
It is best to send a printed letter.

Hello. I want to know if already the letter was send.

Yes, it went out - I sent two copies - it should arrive early next week.

Hello, the letter that you sent has not yet come to the University. We need some tracking code to go to the post office to find it and take it to the University.

If you have any outstanding issue in this ticket please reopen.

Best Regards!
